The Village of Magnolia is now accepting applications for a Clerk-Treasurer as well as Cemetery Clerk. Both positions are part-time, and only open to current residents of the Village. Both job descriptions as well as an employment applications are listed below:

Village of Magnolia Employment Application

Village Clerk-Treasurer Job Description

The Village of Magnolia is currently seeking qualified applicants for the elected position of Clerk-Treasurer. The selected candidate will complete the unexpired term of the present clerk-treasurer, which expires on April 1st, 2020. If the selected candidate desires to continue the position, he/she must run for the office, register properly and be on the ballot in November 2019.

Duties (as outlined in ORC 733.27 and ORC 733.44) include but are not limited to:

  • Attending all Village Council Meetings in order to record the minutes and votes
  • Handle the day to day financial needs of the Village, such as:
    • Issuing payroll to employees
    • Accounts receivable and payables
    • Preparing financial statements
    • Tax reporting
  • Determining appropriations and budgets in conjunction with the Finance Committee
  • Preparing for and working with third party auditors as required
  • Filing tax levy ordinances and relevant documents
  • Coordinating park / pavillion rentals
  • Communicating with Village residents, including writing notices and letters
  • Publishing needed notices with the local newspaper
  • Other administrative duties as needed

Qualified applications must be a resident of the Village and should have knowledge of or a background in accounting or finance. Additional knowledge of government proceedings and regulations is helpful but not required. All applicants will be subject to a background check and must pass a pre-employment drug test. This position is part-time; salary is $1,000 per month.

Cemetery Clerk Job Description

The Cemetery Clerk, reporting to the Cemetery Committee and Village Council, should be appointed to accept responsibility for keeping legal organized records of the Village of Magnolia Cemetery.  The regular duties of the clerk include but are not limited to:

  • Be available to receive calls and inquiries about the cemetery
  • Set appointments to meet prospects for selling of lots
  • Receive calls from monument companies for foundations
  • Receive calls from funeral directors about burials
  • Verify lot, section, & grave number for burials
  • Contact & confirm with Cemetery Sexton (grave digger) location & time of burials
  • Receive money, deposit money & write receipts for lot/grave purchases, transfers, & burial fees
  • Take care of map, record books, & computer records
  • Record all grave sales & deaths in books/computer records
  • Prepare and give report to council each month on any new activity

Primary – Cemetery Committee

Secondary – Village Council & Mayor
